Ignite Health Club ("Ignite", "we", "us", "our") respects your privacy and is committed to protecting your personal information. This Policy explains how we collect, use, disclose and protect your information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Policy applies to our gyms, classes, events and online services including our website, member portal and booking apps (together, the "Services").
2. What we collect
We collect different types of information depending on how you interact with us.
2.1 Personal information
- Identification details like name, date of birth and gender.
- Contact details like email, phone number and postal address.
- Membership and account data like member ID, access card or fob number, check in times, bookings and attendance history.
- Billing details like payment method token, transaction history and invoices. We do not store full card numbers if a third party processor is used.
- Communications like emails, SMS and support requests.
2.2 Sensitive information (health)
- Medical information that you choose to provide like injuries, conditions, medications, pregnancy status or exercise restrictions.
- Health and fitness data from consultations, PAR-Q forms, wellness questionnaires or assessments.
- Emergency contact information.
We only collect sensitive information with your consent, or where required or permitted by law, and we handle it with extra care.
2.3 Usage, device and cookies
- Activity on our website or apps like pages viewed, session duration and referring links.
- Device data like IP address, browser, operating system and approximate location.
- Cookies and similar technologies to operate the site, remember preferences and measure performance. You can control cookies in your browser settings.
2.4 CCTV and in-club images
- CCTV operates in club areas for safety and security. Signage is displayed where cameras are in use.
- Photos or videos may be taken in classes, events or challenges. We will ask for consent before using identifiable images for marketing.
3. How we collect information
- Directly from you when you sign up, complete forms, book classes, visit the club, contact us or participate in assessments or events.
- Automatically when you use our website or apps.
- From third parties like payment processors, booking platforms or social media if you connect with us there.
4. Why we collect and use information
We use information to:
- Set up and manage memberships, bookings and access control.
- Provide training, classes, programs and customer support.
- Tailor coaching, modify exercises and manage risks based on health information you provide.
- Process payments, handle billing questions and manage debt collection where needed.
- Operate, maintain and improve our facilities, website and apps.
- Communicate service updates, schedules and policy changes.
- Send marketing communications where permitted and manage preferences.
- Ensure safety and security including incident investigation and loss prevention.
- Comply with laws, respond to lawful requests and manage claims or insurance.
5. Legal basis and consent
While Australian privacy law does not use the same lawful bases as some overseas laws, we collect personal information only where it is reasonably necessary for our functions or activities, and with your consent for sensitive information unless another exception applies. You can withdraw consent for health information or marketing at any time. This may affect the services we can provide if certain information is required for safety.
6. Direct marketing and preferences
We may send emails or SMS about timetables, offers or events. You can opt out any time by using the unsubscribe link in messages or contacting us. We do not sell your personal information.
7. Disclosing information
We disclose information to trusted service providers who help us deliver the Services, for example:
- Payment processors and billing platforms.
- Member management and booking systems.
- Email, SMS and push notification providers.
- Access control and CCTV vendors, IT support and cloud hosting providers.
- Insurers, legal and professional advisers, and law enforcement where required.
We require service providers to handle information securely and only for the purposes we specify. Some providers may store data overseas. Where that occurs, we take reasonable steps to ensure those providers protect your information in a way that is consistent with the APPs.
8. Data security
We use administrative, technical and physical safeguards that are appropriate to the sensitivity of the information we hold, including access controls, encryption in transit where reasonable, secure disposal and staff training. No method is 100 percent secure so we cannot guarantee absolute security, but we work to prevent and respond to incidents quickly.
9. Retention and deletion
We keep information for as long as needed for the purposes set out in this Policy, to comply with legal and tax obligations, and to resolve disputes. When information is no longer needed, we take reasonable steps to de identify or securely destroy it.
10. Access and correction
You have the right to request access to the personal information we hold about you and to ask for corrections if it is inaccurate, out of date, incomplete or misleading. We will respond within a reasonable time. We may need to verify your identity and in limited cases may refuse access or correction where the law permits, explaining our reasons in writing.
11. Cookies and analytics
We use essential cookies to make the site work and optional analytics cookies to understand performance. You can manage cookie settings in your browser. Blocking some cookies may affect site features. We may use aggregated, de-identified analytics to improve our Services.
12. CCTV and in-club conduct
CCTV operates to help protect members, staff and property. Footage is stored securely, retained for limited periods and accessed only by authorised personnel or law enforcement when required. If you have questions about camera locations or retention, contact us. Please respect the privacy of others when taking personal photos or videos in the club.
13. Children and young people
We do not knowingly collect personal information from children without the consent of a parent or guardian. If you are a parent or guardian and believe your child has provided information without consent, contact us and we will take appropriate steps.
14. Links to other sites
Our website or communications may contain links to third party sites. We are not responsible for their privacy practices. Review their policies when you visit.
15. Changes to this Policy
We may update this Policy from time to time. The latest version will be posted on our website with the "last updated" date. Significant changes will be notified by email or in club notices where appropriate.

Use these short clauses in sign up or PAR Q forms where relevant.
- Health information consent: I consent to Ignite collecting and using my health information for the purpose of tailoring programs, managing risks and providing services. I understand I can withdraw consent, which may limit the services available to me.
- Marketing consent: I agree to receive emails and SMS about classes, promotions and events. I can opt out at any time.
- Photography consent: I consent to the use of my image in club marketing materials. I can withdraw consent by contacting Ignite. Withdrawal will not apply to materials already produced.
- Emergency contact: I confirm I have permission to provide the details of my nominated emergency contact.
