Ignite Health Club ("Ignite", "we", "us", "our") respects your privacy and is committed to protecting your personal information. This Policy explains how we collect, use, disclose and protect your information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Policy applies to our gyms, classes, events and online services including our website, member portal and booking apps (together, the "Services").

2. What we collect

We collect different types of information depending on how you interact with us.

2.1 Personal information

  • Name, date of birth, gender
  • Email, phone number, postal address
  • Membership data (member ID, access fob/card, check-ins, bookings, attendance)
  • Billing data (payment token, transaction history, invoices – no full card storage where third-party processors are used)
  • Communications (emails, SMS, support requests)

2.2 Sensitive information (health)

  • Medical details you provide (injuries, conditions, medications, pregnancy, restrictions)
  • Fitness and assessment data (PAR-Q, consultations, questionnaires)
  • Emergency contact details
  • Collected with your consent or where permitted by law, and handled with extra care.

2.3 Usage, device and cookies

  • Website/app activity (pages, duration, referrals)
  • Device data (IP, browser, OS, approximate location)
  • Cookies for functionality and analytics (controllable via browser settings)

2.4 CCTV and in-club images

  • CCTV used for safety/security with signage
  • Photos/videos at events or classes (consent required for marketing use)

3. How we collect information

  • Directly from you (sign-ups, forms, bookings, visits, communications)
  • Automatically via website/apps
  • From third parties (payment processors, booking systems, social media connections)

5. Legal basis and consent

We collect personal information where reasonably necessary for our activities, and sensitive information with consent unless an exception applies. Consent can be withdrawn at any time, though this may limit services.

6. Direct marketing and preferences

We may send emails/SMS about services, offers and events. You can opt out anytime. We do not sell personal information.

7. Disclosing information

We may share information with trusted providers, including:

Payment and billing systems

Booking/member platforms

Communication providers (email/SMS)

Access control, CCTV, IT and hosting providers

Insurers, legal advisers and authorities where required

Some providers may store data overseas. We take reasonable steps to ensure APP-compliant protection.

8. Data security

We use appropriate safeguards (access controls, encryption where reasonable, secure disposal, staff training). No system is completely secure, but we act quickly to prevent/respond to incidents.

9. Retention and deletion

We retain data as needed for services, legal/tax obligations and dispute resolution, then de-identify or securely destroy it.

10. Access and correction

You may request access or correction of your data. We respond within a reasonable time and may verify identity or refuse requests where legally permitted (with written reasons).

11. Cookies and analytics

Essential cookies operate the site; optional analytics improve performance. You can manage settings in your browser.

12. CCTV and in-club conduct

CCTV is used for safety and security. Footage is securely stored and accessed only when required. Members must respect others’ privacy when taking photos/videos.

13. Children

We do not knowingly collect children’s data without parental consent. Contact us if this occurs.

14. External links

We are not responsible for third-party privacy practices. Review their policies separately.

15. Changes to this Policy

We may update this Policy. The latest version will be posted with the updated date, with significant changes notified where appropriate.

18. After-Hours Access and Security

Members must not allow any other person to enter the club without using their own valid membership access (including fob, card or app check-in). This applies at all times and is strictly enforced during unstaffed or after-hours periods.

Breaches will result in:

First offence: $150 penalty fee applied to the member’s account

Second offence: 1-month suspension of access (membership payments continue during this period)

Ignite may take further action, including termination of membership, for repeated or serious breaches. CCTV and access control records may be used to monitor compliance.

Appendix: Optional consents and acknowledgements for forms

Health information consent:

I consent to Ignite collecting and using my health information for tailoring programs, managing risks and providing services. I understand I can withdraw consent, which may limit services.

Marketing consent:

I agree to receive emails and SMS about classes, promotions and events. I can opt out at any time.

Photography consent:

I consent to the use of my image in marketing materials. Withdrawal will not apply to materials already produced.

Emergency contact:

I confirm I have permission to provide my nominated emergency contact’s details.
